Keep unanswered questions that arise while you prepare discussion topics or confirm venue access. Separate the question, reply and next check date so unresolved items remain visible.
When this template is useful
Use this when an unanswered question or unconfirmed decision is holding up the task.
- Use a specific entry such as “Prepare discussion topics” so someone picking up the record can understand what was checked.
- Keep the result of “Confirm venue access” with its supporting reference. Separate work that is complete from anything still waiting for a reply.
- Record agreed owners and dates. When plans change, a short explanation beside the original entry preserves the useful history.
How to complete this record
State the decision or useful output the workshop should produce.
- Ask one question per row and state the detail needed. A broad request such as please confirm everything makes an incomplete reply hard to spot.
- Identify who can answer and when the decision is needed. Separate the date you asked from the date you hope to receive a response.
- Record the received answer and its source, then update the plan or activity record it affects. A sent message remains open until the necessary answer arrives.
A mistake to avoid
An agenda of discussion topics can fill the time without producing an agreed action.
What a useful finished record shows
Participants leave with a recorded decision and a named owner for each follow-up.
Keep supporting documents in the location approved for your task. Include an understandable reference in the record; do not paste confidential documents or access credentials into a broadly shared copy.
