Inventory count log template

Record a physical stock count and flag items that need attention. Use a separate sheet for each location or count date, rather than mixing several stockrooms in one list.

When this template is useful

Use a separate count log for each location and count date. Identify the item clearly before recording book quantity and physical quantity. If a difference appears, record what needs checking rather than assuming every variance means a loss. Keeping the same item names and units makes the results easier to reconcile with the original stock record.

  1. Record the item code and storage location so similar items stay separate.
  2. Compare the book quantity and physical count at the same point in time. Keep the unit consistent for each item.
  3. Difference means counted quantity minus book quantity. A negative value is a shortage; a positive value is an excess. Record the reason before making an adjustment.

Before starting, decide who will use the record and which period or piece of work it covers. That keeps the entries focused when you return to it or share it with someone else.

Spreadsheet calculations

Counted quantity minus book quantity gives the difference when both cells contain numbers. Zero is a valid input.

Where supplied, formula cells are marked separately from input cells. If you add rows or change the structure, check that the formulas still cover the records you intend to include.

What if I need more space for inventory count log?
