Order preparation — preparation plan template

Use this plan to get order preparation ready to start. Map the intended outcome, arrange the inputs, and put an owner and date against the work that needs to happen first.

When this template is useful

Start here before the task begins, while you can still agree the scope and dependencies.

  1. Use a specific entry such as “Confirm quantities” so someone picking up the record can understand what was checked.
  2. Keep the result of “Arrange handover” with its supporting reference. Separate work that is complete from anything still waiting for a reply.
  3. Record agreed owners and dates. When plans change, a short explanation beside the original entry preserves the useful history.

How to complete this record

Compare the order reference, specification and delivery instructions before packing.

  1. Write the intended result and the boundaries of this particular task before listing preparation work.
  2. Order preparation tasks by dependency. A task that needs a booking, reply or document must wait for that input. Put an owner and realistic date beside it.
  3. Mark unconfirmed inputs as outstanding. Revisit the plan when the reply arrives instead of treating the original estimate as a commitment.

What a useful finished record shows

The prepared order matches the confirmed items and quantity.

Keep supporting documents in the location approved for your task. Include an understandable reference in the record; do not paste confidential documents or access credentials into a broadly shared copy.

Similar product names can conceal different sizes or editions; check the full item reference.

What if I need more space for order preparation — preparation plan?

Use the continuation included with the download. Add the main document reference and sheet number so the extra entries remain connected to the original record. Keep the same date and unit conventions.
