Supplier coordination — activity record template

Keep a dated record as you list supplier requests and confirm reply dates. Note the actual result and what changed so another person can pick up the work.

When this template is useful

Choose this activity record while the work is happening. Record completed actions and their context so a later reader can distinguish what was done from what was only planned. Use a preparation plan for future work and a questions sheet for unanswered items.

  1. Use a specific entry such as “List supplier requests” so someone picking up the record can understand what was checked.
  2. Keep the result of “Confirm reply dates” with its supporting reference. Separate work that is complete from anything still waiting for a reply.
  3. Record agreed owners and dates. When plans change, a short explanation beside the original entry preserves the useful history.

Before starting, decide who will use the record and which period or piece of work it covers. That keeps the entries focused when you return to it or share it with someone else.
